Information we collect
Contact details: name, email address, telephone number, site address and postcode. Project details: scope of work, survey notes, specifications and any photographs or drawings you submit. Contractual and financial records: written quotations, invoices, payment records and signed agreements. Correspondence: emails, phone notes and messages relating to your project or enquiry.
How we use your information
Responding to enquiries and preparing quotations, to evaluate project requirements and provide written estimates (steps prior to entering a contract, and our legitimate interests). Delivering contracted work, to plan and carry out landscaping, groundworks or damp-proofing services (contract performance). Guarantees and aftercare, to service and honour written contractual guarantees (contract performance and legitimate interests). Legal and accounting compliance, to maintain financial, tax and VAT records as required by HMRC and UK law (legal obligation).
How long we keep your information
Enquiries that do not proceed are retained for 36 months from our last communication, so there is reasonable continuity should you decide to revisit a proposal or a seasonal build. Contracted client and project records are retained for 15 years from project completion, covering the guarantee period, structural and drainage records, and statutory accounting requirements.
Project photography
Photographs taken before, during or on completion of work may be used for our portfolio, technical records and marketing. We make sure project photographs do not disclose full house numbers, vehicle registration plates or identifiable personal features without your express agreement. You may ask at any time that photographs of your property are not used publicly.
Third parties and suppliers
We never sell, rent or share personal data for third-party marketing. Information is disclosed only where strictly required for project delivery: material suppliers and merchants for direct site deliveries such as aggregates, paving stone, timber and skips; plant, machinery and scaffolding hire contractors; professional services such as accountants and insurers, and statutory authorities including HMRC; and secure digital infrastructure providers for website hosting and email delivery.
Your statutory rights
Under UK data protection law you have the right to request a copy of the personal information we hold, request corrections to inaccurate records, and request deletion where records are no longer required for legal, tax or guarantee purposes.
